Compliance and archive: what are legal hold, KVKK and the retention report?

The Compliance and archive section is for three tasks: legal hold, export under KVKK and retention policy report. Who can do it: Organization administrator. A mailbox or email under hold is never permanently deleted by any means: emptying the trash and automatic trash cleanup also skip it. Every action is recorded in the audit log.

Legal hold

  1. Under Legal hold, select the mailbox and enter the reason (case or audit number).

  2. Click Place on hold 2. To place a single email on hold, open the email and use Place on legal hold on the Integrity certificate card.

Result A mailbox or mail under legal hold is never permanently deleted by any route: emptying the bin and automatic bin cleanup also skip it. Remove removes the hold; the record keeps who removed it and when.

KVKK export

  1. Under KVKK export, enter the person's email address and click List 3.

  2. All emails where the address appears in the From, To or Cc field are listed (all mailboxes, up to 2000). Download on each row downloads the raw email (.eml) directly from storage; links are valid for 1 hour.

  3. For the entire list, use Download list as JSON.

Retention policy (report only)

  1. Under Retention policy 1, select a period (1-10 years) and click Save. You can see the number of emails per mailbox that exceed this period, those under legal hold, and the oldest date.

Note Automatic deletion is off; this screen does not delete any emails, it only reports.
