What is the Focused inbox?

When Focused is on, only your correspondence with people appears in the Inbox; newsletters, campaigns and automated notifications (bank, courier, verification code) are hidden. Who can do this: Every user (write permission in the mailbox for the sender rule). The rule is applied instantly to the sender's past emails and automatically to future emails. When you turn the switch off, they all become visible.

Steps

  1. Open the inbox. The Focused toggle above the list is on by default 1. The number next to it is the number of unread emails in Focused; the email count in the header, the Inbox badge on the left and the number in the tab title also count only Focused when Focused is on. In the Unread filter, if Focused is empty, it shows how many unread emails are outside Focused.

  2. To see all emails, including newsletters, click Focused and turn off the switch. Your preference is saved in this browser. During the switch, non-Focused emails animate into the list and slide out when you turn the switch back on. If the open email is outside Focused, the right side returns to the Select an email to read screen.

  3. Conversation grouping is on the icon immediately to the right of the toggle 2.

Adding a sender to Focused or removing it

  1. Open an email from the sender and open the ⋯ (More options) menu on the right.

  2. Select Always show in Focused 1 or Don't show in Focused 2. The selected rule appears with a tick.

  3. To remove the rule, select Remove sender rule from the same menu. Emails from that sender are automatically sorted again.

ResultThe rule is applied immediately to the sender's past emails and automatically to future emails. The rule applies to all users and all mailboxes in your company.

Where does an email go?

A decision is made once for each incoming email; most decisions are made without going to AI. The order is as follows; the first matching rule wins:

  1. The rule you have set for the sender.
  2. A reply to a conversation you started or replied to: Focused.
  3. An address you have written to before: Focused.
  4. The email has signs of a newsletter or bulk send (unsubscribe link, mailing list, automated send): it is not visible in Focused.
  5. A colleague from your company's own domain: Focused.
  6. System addresses such as "noreply", "notification", "newsletter": invisible in Focused.
  7. A meeting invitation sent by a person: Focused.
  8. Content classification: Promotions, Updates and Invoice/Payment (invoices from organizations such as telecom operators, energy companies and bank statements) do not appear in Focused; First Contact, Quote/Tender and Official appear in Focused. An invoice from a supplier you correspond with stays in Focused via the correspondence rule.
If no decision can be madeThe email stays in Focused. An ad appearing in Focused is better than a customer email being missed. You only need to correct a sender you see in the wrong place once from the menu.
NotificationsPhone notifications, new email sound and desktop notifications only apply to Focused emails. Newsletters and automated notifications stay in the list but do not disturb you.
Where it appliesThe Focused filter works only in the Inbox. In search, the label filter and other folders, all emails are shown.
