Managing the name, password, and quota of a mailbox

An administrator uses the Credentials on a mailbox's card in the Email accounts screen to change the mailbox's sender name, view its password on the mail server and set a mailbox-specific storage quota.

How to manage the name, password, and quota of a mailbox?

The administrator changes the sender name of a mailbox, views its password on the mail server, and defines a mailbox-specific storage quota using the Credentials on the mailbox's card in the Email accounts screen. Who can do this: Administrator (permission to manage mailboxes). The window closes and the "Credentials updated" notification appears.

Steps

  1. Open Email accounts from the left menu and click Credentials on the card of the mailbox you want to change. The Mailbox settings window opens.

  2. In the Sender name field, enter the name the recipient will see 1. If left blank, the address itself is shown.

  3. To see the mailbox's password on the mail server, click Show password 2. This password is used when connecting the mailbox to an external email client; it is not your SmartMail login password. Showing it does not change the password.

  4. To set a custom limit for the mailbox, enter a number in the Storage quota (GB) field 3. If the field is left blank, the organization's storage allowance is split equally across mailboxes.

  5. Click Save 4.

Result The window closes and the notification "Credentials updated" appears. The new sender name is used in subsequent mails sent from this mailbox; the quota is shown on the card together with usage.
Note To change the mailbox password, enter the new password (at least 8 characters) in the Mailbox password field and click Save. The password is changed first on the mail server, then in SmartMail; if the server does not accept the change, no settings are changed and the reason is displayed on the screen. Anyone using the mailbox in an external email program must also update the password there.
TipIf you need mailboxes of different sizes, for example 20 GB for one mailbox and 2 GB for the others, enter the quota separately for each mailbox. This is also indicated on the card of a mailbox with a defined quota.
