How to disable, delete, and restore a mailbox?

The administrator temporarily disables a mailbox, empties the mailbox's trash, or deletes the mailbox in the Email accounts screen. Who can do this: Administrator (permission to manage mailboxes). A disabled mailbox is not synchronized and does not count towards the mailbox limit; space is freed up for a new mailbox.

Disable the mailbox

  1. Click the Active status button on the mailbox's card 1. The button becomes Disabled.

  2. To reactivate the mailbox, click the same button again; the mailbox returns to Active status. If your mailbox limit is full, the mailbox will not reopen; close another mailbox first.

ResultA disabled mailbox is not synchronised and does not count towards the mailbox limit; this frees up space for a new mailbox. Emails in the mailbox remain in SmartMail.

Synchronizing and emptying the trash

  1. To fetch incoming emails without waiting, click Synchronise 2. When the process finishes, you are told how many new emails were received.

  2. To empty the mailbox's trash, click Empty trash 3. The button changes to Empty?; click once more to confirm.

Delete the mailbox

  1. On the mailbox's card, click Delete 4. The button changes to Delete?.

  2. Click the button once more to confirm deletion.

ResultThe mailbox is deleted from the mail server immediately and removed from the list; it can no longer receive emails and users cannot see the mailbox. The mailbox's emails, archive and assignments in SmartMail wait for 30 days in Mailboxes pending deletion.

Restore a deleted mailbox or delete it immediately

  1. In SmartMail Management, open the Mailboxes awaiting deletion section. For each mailbox, you can see its deletion date, email count, size and how many days remain until permanent deletion 1.

  2. If you want to restore the mailbox, click Undo 2. The mailbox is recreated on the mail server, user assignments are restored and emails are restored from the archive to the mailbox. A deleted mailbox can only be restored this way; it cannot be edited or disabled.

  3. To delete the data without waiting, click Delete now, type the box address to confirm 4 and click Delete permanently.

Result When 30 days are up, the mailbox's emails, archive, attachments and mailbox records are permanently deleted automatically. Emails under legal hold are not deleted 3; the rest of the mailbox is deleted, and those under hold remain visible in the list.
TipPending data counts towards the storage quota for 30 days. If a new mailbox is created with the same address, the old mailbox cannot be recovered; its data is still deleted after 30 days.
Note Immediate deletion and emptying the bin cannot be undone. If the mailbox will only be unused for a while, prefer disabling it.
