Connecting with an external email client (IMAP/SMTP)

IMAP/SMTP access is SmartMail's paid monthly add-on service per mailbox. When the add-on service is purchased for your organization, mailboxes can also connect to desktop email programs and the phone's native email app; emails remain both in SmartMail and on the mail server.

What is connecting with an external email client (IMAP/SMTP)?

IMAP/SMTP access is SmartMail's monthly paid add-on service per mailbox. Who can do it: Administrator. The program connects to the mailbox and shows the emails in the mailbox; the emails continue to appear in SmartMail as well. When the add-on service is purchased for your organization, mailboxes can also connect to desktop email programs and the phone's own email app; emails remain both in SmartMail and on the mail server.

Connecting when the add-on service is enabled

  1. In SmartMail Management, open Email accounts and click Credentials on the card of the mailbox to connect.

  2. Note the value in the Mailbox username field 1; this is usually the mailbox's full address.

  3. Click Show password and copy the mailbox password 2.

  4. When adding a new account in your email client, enter this username and password. The server and ports are shown in the same window, in the Email client settings box 3:

SettingValue
Incoming server (IMAP)mail.smartmail.com.tr, port 993, SSL/TLS
Outgoing server (SMTP)mail.smartmail.com.tr, port 587 (STARTTLS) or 465 (SSL/TLS)

  1. 1Username
  2. 2Mailbox password
  3. 3Server and ports
Mailbox settings: mailbox username and password, with demo data.
Result The program connects to the mailbox and shows the mails in it; the mails continue to appear in SmartMail as well.
If the add-on service is disabledThe Credentials window says IMAP/SMTP access: Disabled. The mailbox password is not shown and cannot be changed; the SmartMail web dashboard and mobile app are not affected.
AttentionIt is disabled for newly created organization accounts until an add-on service is purchased. The setting to also keep emails on the mail server (server-side retention) depends on this add-on service: it cannot be enabled without the add-on service; organizations that already have it enabled are not affected. When the add-on service is disabled, new incoming emails are brought into SmartMail, analysed, and then removed from the mail server; therefore new emails do not appear in a mailbox connected to an external program. Your emails remain fully in SmartMail. The add-on service is purchased from the Purchases screen in the DBLinx organization dashboard; its price Plans is written on the page.
TipThe mailbox password is not the same as your SmartMail login password. Viewing the password is recorded in the audit log.
