What are workload and capacity?

The Workload page shows how much work each person has in the coming weeks compared to their weekly capacity, indicating who is busy and who is free. Who can do what: View: projects you are a member of (company administrators view all projects); customer accounts cannot view. Change capacity: company administrators for everyone, each person for themselves. Load is calculated automatically: the estimated duration of an open card is divided equally among assigned persons and spread evenly over the remaining working days from today until the card's due date.

Steps

  1. Enter estimated durations for cards: type "6 h", "1:30", or "45 m" in the Estimated duration row in the card window. In table view, you can also open the Estimate column to enter estimates quickly for many cards.

  2. Click Workload in the left menu. Rows represent persons, columns represent weeks 2; each cell shows "load / capacity" in hours. Bars turn yellow at 70% and red when capacity is exceeded.

  3. Enter the weekly capacity in hours in the box next to the person's name 1. If left blank, 40 hours are assumed.

  4. Clicking a cell lists the cards contributing to that week's load 3; clicking a card opens it within the project.

Result Load is calculated automatically: the estimated duration of an open card is divided by the number of assigned persons and distributed equally over the remaining working days from today until the card's end date. When a card is completed, or its date or assignee changes, the table updates accordingly.

How to log in to the account?

  • Only remaining working days for this week are counted; capacity is also prorated to those days.

  • Expired open cards are counted under Late, and those without a due date under Undated; they are not distributed across weeks.

  • Cards without an estimated duration are counted as "no estimate" in the cell but are not added to the hour total.

  • The project's working days are taken into account; for example, work for a project that operates on Saturdays is also spread over Saturday.

Tip Select a single project from the box above to view only that project’s load; use the arrows to navigate between weeks. Unassigned cards do not contribute to anyone’s load; you can find them by grouping the Table view "By Assignee".
