How the amount is calculated: live total in the form

The Amount box below the order form is recalculated with every selection: when you add or remove a plan, or change the quantity, period or discount rate, the updated figure appears a moment later. Next to each selected plan you also see that plan's amount in this order. The box works the same way when you edit a pending order.

The account is the one used to open the order; the total including VAT shown in the box is Create orderthe same as the amount on the order that opens when you click it and on the customer's payment link. The box breaks it down in this order:

  • Lines: the monthly list price (USD), quantity and period for each plan. For an annual period, you are charged for the number of months paid annually, and the service lasts 12 months.
  • Discounts: the discount assigned to the customer, the credit for the remaining paid period of the current plan on an upgrade, and the applicable campaign on a renewal. These are not deducted from your share.
  • Subtotal: the amount after discounts, converted into Turkish lira at the day's TCMB rate; the rate and its date (dd.mm.yyyy) are shown next to it.
  • Reseller discount: Discount % the rate you enter in this field; it is deducted from your share only.
  • VAT and, in large type, Total including VAT (TRY); the USD equivalent is shown below it. For an annual order, the monthly equivalent is also shown.
  • Your estimated earnings: the amount expected to be your share of this sale (excluding VAT). The exact amount is determined when payment is received, according to the payment method.
What if the box shows an error? The selection cannot be turned into an order as it stands, and Create order stays disabled. For example, if the discount rate exceeds your share of this sale, lower the rate; if a renewal, an upgrade and an add-on product are in the same basket, open them as separate orders.

What happens after payment?

The moment payment is received, without you or the customer needing to do anything:

  • The products the customer selected are set up and the product addresses are opened.
  • From the email address on the customer record, the customer's administrator user is created and made the owner of the customer dashboard (app.dblinx.net).
  • An email containing the username and the link to set a password is sent to the administrator. The link is valid for 7 days. Once the administrator sets their password, they move on to their products, add their team and give their users access to products.

In the order table in the customer details, the Status column shows where the order stands:

  • Awaiting payment: the link has been sent, but payment has not been made.
  • Paid · setting up: payment received, products are being set up. This usually takes a few seconds.
  • Paid · ready: the products have been set up; if "administrator invitation sent" appears next to it, the password link has reached the customer.
  • Setup stuck: a step of the setup could not be completed; the reason is shown below it. The DBLinx team sees the same alert, and the system retries the step automatically. An alert also appears next to this customer in the My customers list. If the stuck step is the administrator invitation, you can also send the invitation yourself with Resend setup invitation .
What if the customer's email address is not on record? The box cannot be ticked; the screen says you need to forward the link yourself. Copy to get the link.

  2. 2Resends the link to the customer
What if the customer can't find the email? Under the order awaiting payment, the Send link by emailbutton, press it, or Copy link forward the link yourself. An email can be sent once a day for the same order; the link is valid for 7 days after the order is opened.

Orders screen

In the left-hand menu, the Orderslists all orders of your organization and its sub-organizations. Search by order code, customer, or package name; Awaiting payment, Paid, Setup stuck and Canceled filters. The same table and operations are also available in the customer detail view.

Editing or canceling an order awaiting payment

  1. Below the order, Editclick it; the form opens pre-filled with the order's packages, quantities, and period.

  2. Change the packages, quantities, period, or discount, then Save changeclick it.

Result The amount is recalculated using the current pricing and rules, a new order code is created, and the old order is canceled. The old payment link stops working; if checked, the new link is emailed to the customer.

To cancel the order entirely, Cancelclick it and confirm; the payment link stops working. An order whose payment has been received cannot be edited or canceled. These buttons don't appear for an order DBLinx created with a custom price or that the customer created from their own dashboard.

Resending the setup invitation

If the customer's administrator can't find the password-setup email, or the link has expired, click the button below the paid order, Resend setup invitation. The new link is sent to the customer administrator's email and is 7 days valid; the previous link stops working. For the same order, it can be sent once every 10 minutes. If the administrator has already set their password, no invitation is sent; if they forgot their password, they use the I forgot my passwordlink on the app.dblinx.net login page.

Refund request

A refund for a paid order is made with DBLinx's approval. A person with the Owner, Administrator, or Sales role clicks the button below the order, Refund request, enters the reason and the amount (full or partial), then Send requestclicks it. The status of the request appears in the order row, Orders screen's Requests and DBLinx's note appears in the section. Once the refund is made, the adjustment to your share is automatically recorded in your current account.

How does the customer approve the agreement? If you created the customer from your own dashboard, the customer checks the Distance Sales Agreement box on the payment page and proceeds directly to payment; no confirmation code is sent to their email, because the email address is your declaration. If your organization is suspended, if the customer's registered email has changed, or if the customer was linked to you by DBLinx, the page requires the 6-digit code sent to the registered address; you cannot enter the code on the customer's behalf.
Where do I see the order amount? The order table in the customer detail view shows each order's package, status, VAT-exclusive amount, and your share.
