What is deleting an employee's personal data (KVKK)?
When a current or former employee asks for their personal data to be deleted, you can handle the request in a single action from the DBLinx organization panel. Who can do this: the organization's tenant administrators. The person is removed from the list. The person's name, username, email, phone and password on their DBLinx account are deleted; their account is closed in every product they used, and open sessions are ended.
Steps
Users screen, click the person's name; their card opens.
At the bottom of the card, "Delete person and their personal data (KVKK)" button, click it.
Read what will be deleted in the dialog that opens.
- 3What's deleted is listed here
- 4Type the username
- 5Starts the deletion
To confirm, type the person's username exactly. The button won't activate until the name matches.
"Delete permanently" button, click it.
What gets deleted, and what stays?
- Deleted: name, username, email, phone, password and two-step verification data; open sessions and registered mobile devices; password and invitation links; contact-form messages sent from this email address.
- Anonymized: quote requests where the person is listed as the contact (the company's information stays, the person's information is removed).
- Kept: security audit records (who did what, and when), along with order and invoice records; keeping these is a legal obligation. These records no longer show the person's name or email, only a meaningless identifier.
- SmartPass: the person's name and personal details are anonymized, their photo is deleted, their card is canceled, and they're removed from permission groups; access and cafeteria counts stay, with no link left to the person.
- SmartFiles: the person's AI chats are deleted, any sharing or upload links they created are closed, and their area and folder permissions are revoked. Files, versions and notes stay in the organization; the author shows as “Deleted person.”
