Use the shared calendar across products

SmartMail and SmartFiles share the same calendar: a date you add in one product also appears in the other. Calendar items can belong to you, your department or the whole organization, and nothing is added to the calendar without your approval.

  • Any user with access to SmartMail or SmartFiles. Adding items organization-wide is restricted to administrators.

How do I use the shared calendar across products?

SmartMail and SmartFiles share the same calendar: a date you add in one product also appears in the other. Who can do this: Any user with access to SmartMail or SmartFiles. Adding items organization-wide is restricted to administrators. An added item appears both in your own product and in the other product's calendar; by tapping the item you can go to its source (email, file or folder).

Steps

  1. Open the calendar screen of the product you are using. The calendar shows your own items, your department's items and organization-wide items together. You can narrow the view to All, Mine, My department or Organization .

  2. To add an item, use Add to calendarwhile reading an email in SmartMail, or use the add date option in the details of a file or folder in SmartFiles. You can choose the date as a day, a time or a date range, and add repeats and reminders.

  3. For actions such as a response deadline, adding to the calendar is a separate option (Also add to calendar). Unless you select it, no item is written to the calendar; if you wish, you can mark certain types in Settings to always be added.

  4. The reminder is sent by the product that added the item. Even if an item appears in both products, you receive its reminder only once.

Result An added item appears both in your own product and in the other product's calendar; by tapping the item you can go to its source (email, file or folder). Items that carry information dependent on access permission, such as a file name, are shown in the other product by type only.
History Adding to the calendar, completing and removing items are recorded in the history of the relevant email or file and in the organization's audit log.
I can't see department items. You may not be assigned to a department; your administrator can add you to one: Creating a department and assigning a user.
