File management for manufacturing and export companies

For production and export companies, file management ensures that everyone sees the correct revision of technical drawings and specifications from the same location, that export documents are collected completely on a shipment basis, and that sales, production, and logistics teams access only their own documents. SmartFiles version history, department areas, and AI summary establish this order.

What file issues do manufacturing and export firms face?

  1. "Old revision in use in productionThe new revision of the technical drawing sits with engineering, while the old one remains in the production planning folder. Batches produced with the wrong revision are scrapped.
  2. "One export document is missingInvoices, packing lists, certificates of origin and transport documents come from different people. Missing documents cause delays in shipment or payment.
  3. "Departments are modifying each other's documentsSales, engineering, and quality work with write permissions in the same folders. One team inadvertently modifies another team's document.
  4. "Current document inaccessible on siteThe line supervisor or dispatch officer is not at their desk. Output is awaited to check the current specification.

Why does using the wrong revision in production prove expensive?

When a part's technical drawing changes per a customer request, continuing to use the old revision on the production line could mean scrapping an entire batch. This error often stems not from a technical mistake but from file organisation: the new revision is saved in the engineering folder, but production planning retains the old copy in its own folder.

In an arrangement where revisions are tracked by filenames like “parca_A_revC_final”, which revision is valid can only be learned by asking the engineer. In an arrangement where the document resides in a single location and each revision is added as a version, everyone always sees the current state; older revisions remain in history along with who uploaded them and when.

How are export documents collected completely?

An export shipment includes proforma invoices, commercial invoices, packing lists, certificates of origin, bills of lading or transport documents, customs declarations, and customer-specific certificates. These documents come from different individuals and organisations; missing even one can delay payment or customs processes.

Creating a folder for each shipment and collecting documents in this folder allows missing documents to be seen at a glance. Labels showing the status of documents ('pending', 'received', 'sent to customer') show everyone who opens the folder which stage the shipment is at.

How is document sharing between departments managed?

In manufacturing companies, sales, engineering, production planning, quality, and logistics work with different documents for the same product. Engineering writes technical drawings, production reads them; quality uploads test reports, sales forwards them to customers. Having each department work in its own area and only being able to read documents needed by other departments prevents accidental changes.

A technical drawing, the relevant test report, and customer approval may reside in different areas. Instead of copying them, linking them allows the person opening the document to reach related documents with a single click; even when a new revision is marked as replacing the previous one, the relationship remains recorded.

How to access documents in the field and storage?

The foreman on the production line or the dispatch supervisor in the warehouse is often not at a computer. Accessing the latest technical drawing, dispatch list, or customer specification via phone is faster than returning to the desk to print. Uploading a photo taken on-site or a damage assessment directly to the relevant folder also prevents the document from being lost later.

What would an example area structure look like for a manufacturing and export company?

  • "Engineering: technical drawings, specifications, product trees. Engineering writes; production and quality read.
  • "Quality: Test reports, certificates, non-conformance records. Quality writes; sales and engineering read.
  • "Export Operations: shipment folders and export documentation. Operations and logistics write; accounting reads.
  • "Sales: quotes, customer orders, customer approvals. Accessible only by the sales team and management.

How does SmartFiles solve this?

No file is overwritten in SmartFiles: a technical drawing uploaded with the same name to the same folder becomes a new version, the version number increases in the list, and previous revisions remain in the version history with the uploader and date. If a revision was uploaded incorrectly, you can revert by restoring the previous version.

Each department works in its own storage area; read-only access can be granted to other departments on an area-by-area basis. Documents are linked to each other via Related, Source of this, or Replaces this links; area-specific tags indicate the status of shipment documents.

PDFs, images, and videos open in the browser without downloading. The SmartFiles mobile app provides access to authorized areas, search, visual preview, and version history; files are uploaded from the field. Uploaded documents are summarized by AI, allowing direct questions to be asked about a long customer specification.

Frequently asked questions

How to ensure the production team always sees the latest technical drawing?Technical drawings are kept in a single folder and each revision is uploaded with the same name. In SmartFiles, the latest version always appears in the list; older revisions only appear in the version history.
What should be done if reverting to an old revision is required?A person with past authority restores an old revision from the file's Versions tab. The old content is added as a new version; none of the revisions in between are deleted.
Can large technical drawing files be uploaded?Yes. Up to 1 GB of files can be uploaded to SmartFiles at once; an entire folder is transferred via drag-and-drop preserving its hierarchy.
Can export documents be sent to the customer by email?Yes. When used with SmartMail, documents in SmartFiles are sent by email without downloading, and the sending action is recorded in the area activity log.
Can foreign-language specifications be summarised?SmartFiles' AI summary is based on the document's content and presents the summary in Turkish; key points of a customer specification in a foreign language can also be quickly seen this way. For critical clauses, viewing the full text is recommended.
