It manages projects and tasks via lists, Kanban, and Gantt charts; consolidating task dependencies, critical path, project roles, customer access, file attachments, calendar, notifications, search, time tracking, reports, and AI-assisted planning into a single web dashboard. - **How do I log in to SmartPM?** SmartPM is accessed using your DBLinx account. When you visit your organization's address (pm.dblinx.net), you are redirected to the DBLinx login page; after logging in, you return to your projects. There is no separate SmartPM password. - **I have multiple organizations; how do I switch between them?** If you can access multiple SmartPM organizations with the same account (e.g., one organization per factory or branch), you can switch to another organization with a single click from the 'My Organizations' section at the top of the menu that opens when you click your name in the top right. You do not need to re-enter your password; your session in the previous organization remains open. - **Who can create projects?** Company administrators and users within your organization can create projects. The person who creates the project becomes its administrator. Persons added only with the customer role cannot create projects. - **What happens if a task is delayed?** When you push back a task's due date, dependent tasks are pushed forward while preserving their durations based on the dependency type and delay. SmartPM only pushes forward; it does not touch later dates you manually set. The screen notifies you of how many tasks were pushed. - **Does my customer see everything in the project?** No. A person with the customer role sees only the project they are a member of and the tasks marked as 'Visible to Customer' in that project, and can comment on these tasks. Internal tasks, time logs, and team lists are not shown to them. - **Can I migrate my work from Trello, Asana, or Jira?** Yes. Drag and drop Trello's JSON export, or a CSV or Excel file obtained from Asana, Jira, or another tool, onto the Import link in the new project box. Lists, cards, subtasks, labels, dates, priorities, and checklists are imported into a new project; persons in your organization are added to the project and assigned to cards. - **Can I automate things like assigning a person when a card moves to a list?** Yes. In the Automation section of project settings, you set up 'when, what to do' rules: adding a person, adding or removing a label, setting priority, moving to a list, and setting a due date are done automatically when a card is added, moved to a list, a label is added, or completion is checked. - **Can I track the project budget and cost?** Yes. The project administrator enters the budget, default and person-specific hourly rates, and expenses in the Budget tab. Time logged is multiplied by the rate to calculate labour costs; spent amount, remaining budget, and billable amount to the customer are visible on a single screen and can be downloaded as CSV. - **Can I see how busy each team member is?** Yes. When you enter estimated durations for cards, the Workload page compares each person's load for the upcoming weeks with their weekly capacity; weeks where capacity is exceeded are marked in red, and clicking the cell lists the cards for that week. - **Can I change many cards at once?** Yes. In table view, select cards (Shift for range); from the bottom bar, move them all together to another list, change their priority, assignees, labels, or due dates, archive, or delete them. Bulk changes are undone in one step with Ctrl+Z. - **Can I save my frequently used filters?** Yes. In the filter window, select criteria for person, label, priority, and due date, and save with a name; optionally share it with everyone in the project. Saved filters are applied with one click in Kanban, Table, and Calendar; shared filters show 'Cards assigned to me' displaying each person's own cards. - **Can I make a recurring task a template?** Yes. Prepare the card once and click Save as Template from the card window; optionally allow use in all projects. Selecting from the bottom of the Kanban list or the Template button in Table recreates the card with subtasks, checklists, labels, and working day duration. - **Can I add my own fields to cards?** Yes. Add fields of type text, number, date, dropdown list, or checkbox from the Custom Fields section in project settings. Fields are filled as columns in the card window and table view, sorted, filtered by selection and checkbox fields, and optionally visible on Kanban cards. - **How do I announce the project progress to the team and customer?** The project administrator marks the status as On Track, At Risk, or Delayed in the Status tab and writes a short note; optionally, the draft is prepared by AI from project tasks and comments. Everyone in the project receives a notification; the latest status appears as a badge in the board box and project title. Updates shared with the customer are also visible to the customer. - **Can I see all my projects on a single screen?** Yes. The Portfolio page displays your active projects in a single table: latest status update, progress, delayed tasks, next milestone, due date, and budget usage by project administrator. You can filter for At Risk or Delayed projects using the top cards, view upcoming milestones in a separate list, and download the table as CSV. - **Can I see who changed what in the project?** Yes. The audit log lists opening, moving, date and priority changes, assignments, member and role changes, files, budgets, expenses, and project deletion by person, project, and hour. It is filtered by project, person, change type, and date, and downloadable as CSV. Company administrators see the entire organization; project administrators see the projects they manage; records are retained for 400 days. - **Can customer requests fall directly into the project?** Yes. The project administrator opens a request form and shares the link; the form does not require login. Each submission becomes a card in the selected list, the requester's name and email are written to the card, the card is assigned to the requested person, and a notification is sent to the team. The form can ask for the project's custom fields; the form can be closed or the link renewed. - **What should I do for regularly recurring tasks?** Make the card recurring once: from the Recurrence row in the card window, select daily, working days, weekly (on specific days), monthly, or yearly frequency, and optionally a end date. Once the card is completed, a copy with the same content, members, and unchecked checklists is automatically created for the next date. - **Can I attach files to tasks?** Yes. You can drag and drop files into the Files section of the task panel or the Files tab of the project. The limit is 250 MB per file, 50 MB for customer role; executable files are not accepted for security reasons. Files use your organization's DBLinx storage space. - **Are my tasks visible in the calendar?** Yes. Tasks with a due date and assigned to you appear on the My Calendar page on their due dates; the calendar updates when the date, status, or assignee changes. Since tasks are written to your organization's DBLinx calendar, they also appear in calendars in other Smart products. Each project has a Calendar tab with month and week views. - **Can I receive notifications by email?** Yes. You receive notifications when a task is assigned to you, a comment is written to your task, you are mentioned in a comment, a task is completed, and one day before the due date. Notifications are collected in the bell on the dashboard; for email, each person chooses between instant, daily summary, or off options. - **Do I need to refresh the page to see team changes?** No. When someone adds a task, moves a card, changes a date, or writes a comment, the change appears on everyone's screen keeping the project open within a few seconds. If the connection drops briefly, SmartPM reconnects and fetches missed changes itself. - **What reports are available?** The Reports page shows project status (progress and number of delayed tasks), delayed tasks, team workload, and time spent per project or person. Each section is downloadable as CSV; persons with the customer role cannot view reports. - **How do I find an old comment or file?** Type in the search box at the top bar or press the / key. SmartPM searches in names of projects you can access, task titles and descriptions, comments, and file names; clicking the result opens the relevant task. Case and accent sensitivity are ignored. - **How is approval obtained from the customer?** Click the Request Approval button on a customer-visible task and optionally add a short note. The customer in the project receives a notification and opens the task to Approve or Request Changes; when requesting changes, they write what needs to be changed. Responses with notes remain recorded on the task, visible with a label in the list and kanban. - **Are there ready-made project templates?** Yes. When creating a new project, you can choose an empty project or one of three ready templates: website project, event organization, and product launch. Templates set up tasks, dates, dependencies, milestones, and labels starting from the day you open the project; then you can change them all. - **Does SmartPM use artificial intelligence?** Yes, in three places: suggesting a plan by describing the project, suggesting splitting a task into subtasks, and summarizing project status. Suggestions are not saved until you approve them; usage deducts from your organization's DBLinx AI allowance. - **Can I export time logs to Excel?** Yes. The Download CSV button in the timesheet downloads records for the selected week with columns for date, project, task, person, minutes, and hours. The file is in a format that Turkish Excel opens directly. - **Where are my data stored?** Each organization's SmartPM data is kept in its own separate database; data is not shared between organizations. When the organization subscription expires and deletion is requested, the database is completely deleted. ## Pages - [Project Management Software: Gantt, Kanban and Time](https://dblinx.net/en/smartpm/index.md): Manage your projects with SmartPM in lists, Kanban boards, and Gantt charts; bring dependencies, critical path, time tracking, and customer access together in a single dashboard. - [Features: Project, Task, Gantt and Team](https://dblinx.net/en/smartpm/ozellikler.md): SmartPM features: tasks and subtasks, Kanban, dependent Gantt chart, critical path, project roles, customer access, and time tracking. - [Gantt Chart and Critical Path](https://dblinx.net/en/smartpm/gantt-semasi.md): SmartPM Gantt chart: plan tasks by dragging, set four types of dependencies; successor tasks slide automatically, critical path is highlighted. - [Kanban Board and Task Management](https://dblinx.net/en/smartpm/kanban-ve-gorev-yonetimi.md): SmartPM Kanban board and task list: drag tasks to move them; set subtask, priority, date, and assigned person, work with comments. - [Customer Access: Share the Project with Your Customer](https://dblinx.net/en/smartpm/musteri-portali.md): SmartPM Customer role: your customer only sees tasks you have opened for them and writes comments; internal tasks and time records remain closed to them. - [Time Tracking and Weekly Timeline](https://dblinx.net/en/smartpm/zaman-takibi.md): SmartPM time tracking: start a timer on a task with one click or enter the duration manually; view totals in the weekly time timeline and export as CSV to Excel. - [AI-Powered Project Planning](https://dblinx.net/en/smartpm/yapay-zeka.md): SmartPM AI: describe the project, get a plan suggested with tasks and dependencies; split tasks, summarize project status and risks with one click. - [Project Management Glossary: Gantt, Critical Path, Kanban](https://dblinx.net/en/smartpm/proje-yonetimi-sozlugu.md): Short definitions of project management terms: Gantt chart, critical path, slack, dependency types, milestone, Kanban, workload, and portfolio. - [Excel for Project Tracking or SmartPM?](https://dblinx.net/en/smartpm/excel-ile-proje-takibi.md): Comparison of project tracking with an Excel spreadsheet vs SmartPM: dependency, automatic sliding, critical path, simultaneous working, permissions, customer, and history. - [Frequently Asked Questions: Login, Roles, Gantt](https://dblinx.net/en/smartpm/sss.md): Frequently asked questions about SmartPM: login, roles, Gantt dependencies, automatic sliding, customer access, time recording, and data storage. ## Documents - [SmartPM documents](https://dblinx.net/en/smartpm/belgeler/): step-by-step description from setup to usage. ## Documents Setup and usage documentation: https://dblinx.net/en/smartpm/belgeler/ · document list: https://dblinx.net/en/smartpm/belgeler/llms.txt · full text: https://dblinx.net/en/smartpm/belgeler/llms-full.txt - Getting started (7 documents): First login, boards homepage, first project, creating a project from a template, and adding the team to the project. - Tasks (16 documents): Adding tasks, editing, subtasks, Kanban, tags, history, and search. - Gantt chart (5 documents): Dates, dependencies, auto-scroll, critical path, and milestones. - Collaboration (7 documents): Real-time updates, comments and mentions, notifications, file attachments, sharing projects with customers, and customer approval. - Calendar (2 documents): Project calendar and personal calendar: task due dates in month and week views. - Artificial intelligence (6 documents): Chat assistant, extracting tasks from documents, subtask suggestions, project status summary, project planning from descriptions, and usage limits. - Time and cost (4 documents): Timer, manual time entry, weekly chart, project budget, hourly rates, expenses, and CSV. - Reports and workload (4 documents): Project status, overdue items, individual workload, time summary, weekly capacity, and CSV. - Project settings (6 documents): Kanban columns, working days, custom fields, automation rules, archive, and deletion. - Troubleshooting (6 documents): Common issues and solutions.
