# When is scheduled email sending useful, and how is it cancelled?

Scheduled sending lets you write the email now and send it at the time the recipient is most likely to read it. It is used for quotes written outside working hours, recipients in different time zones and information that must be announced on a specific date; it can be changed or cancelled before the sending time.

When a business email arrives is as important as what it says. A quote sent at midnight gets buried under dozens of emails in the morning; a reminder that arrives on a holiday passes unread. Scheduled sending lets you write when the email is ready and choose the time when the recipient will actually look at it.

## When is scheduled sending useful?

- **Written outside working hours:** a quote prepared in the evening is sent at the start of the working day in the morning.

- **Different time zones:** timed to coincide with the morning of the counterpart abroad.

- **Dated announcements:** a price change, campaign start or meeting reminder goes out at a specific time.

- **Team scheduling:** announcements written before going on leave are sent on the correct day during the leave.

## What should be considered when scheduling?

When the send time arrives, the email goes out as it was written. Therefore, instead of relative expressions such as "today" and "tomorrow" in the content, it is necessary to write dates, ensure that attachments are up to date and check the recipient list one last time. It is also important who sends a scheduled email from which mailbox: an email sent on behalf of the organization goes out with the mailbox's current signature at the time of sending.

## How is scheduled email cancelled?

- Open the Scheduled folder; each row shows the sending time, recipient and subject.

- To change the time, click **Change time**; to cancel sending, click **Cancel**.

- An email that could not be sent stays in the list with the reason; use **Cancel** to remove it from the list.

## How SmartMail solves this

- **Scheduling from the preview:** select a date and time with **Schedule** in the send preview; the earliest you can choose is one minute later.

- **Scheduled folder:** pending emails in a single list; change the time or cancel sending.

- **Resilient to interruptions:** if the attachment cannot be read at the moment of sending, sending is automatically retried for half an hour; the email is not sent with a missing attachment.

## Frequently asked questions

Can I change the content of a scheduled email?

You can change the send time or cancel the send. To change the content, cancel and prepare the email again.

Can a large file link be added to a scheduled email?

No. Large file links are only used in emails sent immediately; share the large file in a separate email.

What happens if my computer is off at the send time?

One thing does not change. A scheduled email waits on the server and is sent automatically when its time comes.

### Email archive and recovery: how to recover deleted mail?

A deleted email does not disappear immediately; it remains in the trash for the period determined by the organization and can be restored during that time. For emails that are no longer needed but must be kept, archiving rather than deleting is the right approach: archiving removes the email from the inbox but does not delete it.

### Internal team notes and @mentions: how do you communicate on an email without it reaching the customer?

A team note is an explanation left on an email that only the team can see. It does not go to the other party; everyone who sees the same mailbox sees it. When you type a colleague's name with @, they receive a notification; so internal correspondence stays alongside the email without telling the customer “just a minute, let us ask”.

### How to recognise a phishing email?

A phishing email often looks like a familiar sender. You can tell by checking whether the sender really wrote from that domain, letter tricks in the domain, where the link actually goes, and any request for payment or bank details in the email.
