# Calendar in the mobile app

Your reply deadlines, follow-up reminders, events you add from emails and dates from other Smart products appear in a single calendar.

- Any user who has signed in to the app

- Administrator permission is required to add an organization-wide event

## What is the calendar in the mobile app?

Your reply deadlines, follow-up reminders, events you add from emails and dates from other Smart products appear in a single calendar. Who can do this: any user signed in to the application; administrator permission is required to add events to the whole organization. Reply deadlines and follow-up reminders are added to the calendar only when you select Add to Calendar or enable that type in the Preferences card at the bottom of the screen.

## Opening and navigating the calendar

Tap the calendar icon in the top bar of the inbox. You can also access the calendar from the **Settings** screen.

Use the arrows on either side of the month name to move between months; **Today** returns to today 1.

Use the **Mine**, **My department** and **Organization** filters to choose whose calendar you want to see 2.

In the month grid, days with items show a dot below them; a red dot is an overdue item and a yellow dot is a priority item 3. Tap a day.

The items for the day you select are listed below 4. Each row shows the product that created the item, its type, date and whose calendar it is on.

## Number on the calendar icon

The number in the corner of the calendar icon in the Inbox top bar is the number of items open in your calendar today: items from your own, your department, and your organization, from all Smart products.

Completed or cancelled items are not counted. If there are no items today, the count is not shown; if there are more than 9, it shows **9+**.

If there is an overdue but open item, the number turns red.

When you open the app, when your calendar changes, when you return to the app, and while it is open, it refreshes every 5 minutes.

## Mail calendar items

For an email with an item in the calendar, a calendar icon appears below its avatar in the list.

Open the email and tap the **Calendar** tab in the bottom panel. Items linked to this email that you can see are listed: organization items are visible to everyone; department and person items are visible only to their owner.

With **Add to calendar** in the tab, you can add a new event from this email; the item you add appears in the list immediately.

## Opening the item

Tapping an item from SmartMail opens the relevant email inside the app.

An item from another Smart product opens on that product's page.

The **Join** button appears on the item with a meeting link 5.

## Adding an event

Select a day in the calendar and tap **New event**, or open an email and tap **Add to calendar** on the **Summary & Details** or **Calendar** tab.

Enter the title 6. When adding from an email, the title is the email subject; if the email mentions a date, the form opens with that date.

Select **All day** or **Time** and set the date 7; optionally, select the recurrence and reminder time 8.

If needed, mark **Priority** 9, add a location and meeting link, then tap **Add to calendar**.

**Result** The event you add appears in the calendar and in the calendar on the web dashboard. You receive a notification when the reminder time comes; tapping the notification opens the related email.

**Attention** Response times and follow-up reminders are added to the calendar only when you select **Add to calendar** or enable that type in the **Preferences** card at the bottom of the screen. You manage them from their own screens; when you remove them, they are also removed from the calendar. **Remove from calendar** appears only for events you added manually.

**Caution** For items in another product that can only be seen with that product's permission, the type name and a lock icon appear instead of the title.
